Project Administrator / Commercial & Residential Building Construction

Its primary business focus is publicly bid commercial building construction and also provides a wide range of related private residential development and real estate services. We are seeking a Project Administrator to join our collaborative team of construction professionals to ensure efficient, cost-effective project operations.

Project Administrator / Commercial & Residential Building Construction

Responsibilities:

This is a key position responsible for the support of our company project management and field operations staff. Project Administrators assist estimators/project managers to bid prospective projects, to subcontract services and purchase materials for contracted projects, and to expedite communications during construction and ultimately through project closeout.

Responsibilities for this position are the initiation, organization and tracking of all project information, to include contracts, purchase orders, job costs, billings, submittals, and closeout documentation. In furtherance of these responsibilities, the Project Administrator will perform tasks including but not limited to the following:

  • Solicit material and subcontract bids.
  • Procure and make bid documents available.
  • Prepare and post to job cost system estimates, contracts & POs, change orders.
  • Solicit and transmit documentation of projects in progress; create and maintain
    transmittal and change order logs.
  • Preparation of pay applications to owner; review of subcontractor billings,
    certified payrolls, lien waivers.
  • Facilitate and track communications between Project Manager, Field
    Superintendent, Architect, Construction Manager and Owner.
  • Prepare and transmit closeout documentation and manuals.
    Secondary responsibilities include assisting the project management team with the
    following:
  • Maintenance of working relationships with Clients, consultants, and other
    members of the project team
  • Review of project progress
  • Maintenance of project schedules
  • Maintain communication hierarchy and protocol between team members.
  • Assist in the scheduling of and communication of job meetings, agendas, meeting
    minutes, and directives.
  • Coordinate with accounting staff.
  • Additional duties related to maintenance and operations of private real estate
    developments, as they may arise.

  • Proficiency with project management software, Bluebeam, Viewpoint, Procore
  • Working knowledge of construction methods and practices
  • Familiarity with Occupational Safety and Health Standards
  • Ability to interpret construction documents (plans, specifications, contracts)
